We believe in simple, clear and fair terms and conditions for our clients, whom we regard as our guests. When you make a booking with us you are accepting our terms & conditions, so please take a few minutes to familiarise yourself with them. Thank you.

General comments

For the avoidance of doubt, the person making the booking with us is the Client. Those people who travel with us are ‘Guests.’ A Client may also be a Guest.

Nothing in our Terms & Conditions affects your statutory rights

Our Terms and Conditions relate to our Client and Guests. The Client making the booking is accepting our Terms and Conditions on behalf of all Guests who are party to the booking.


All bookings must be paid in full prior to commencement unless credit facilities have been arranged in advance.

Credit facilities – May be obtained from Edinburgh Executive Travel. Companies must produce headed stationery with a registered number, registered office address and ultimate parent company where applicable. Terms are strictly 14 days from the date of invoice.

Payment is by card and we accept most major cards (additional 2.5% administration fee applicable).

The company reserves the right to charge for any additional services requested/additional time incurred out-with the agreed booking. This will be advised on completion of the booking and payment taken from the stored card used to make the initial payment.

 Cancellation Policy

Airport & Ground Transfers

48 Hours Prior to Travel, 25 % of Hire Charge

24 Hours Prior to Travel, 75 % of Hire Charge

12 Hours Prior to Travel, 100 % of Hire Charge

All cancellation fees are less airport parking/meet and greet costs which are detailed on the invoice.

Chauffeur Hire / As Directed

48 Hours Prior to Travel, 25 % of Hire Charge

24 Hours Prior to Travel, 75 % of Hire Charge

12 Hours Prior to Travel, 100 % of Hire Charge


Wedding Cancellations

25% Deposit at the time of booking, All Deposits are non refundable.

28 Days prior to Hire, 50% of Hire Charge.

7 Days prior to Hire, 100% of Hire Charge.


Tour Cancellations


25% Non-refundable deposit.

Within 28 Days, 50% cost of the Tour.

Within 14 Days, 75% cost of the Tour .

Less than 7 Days, 100% cost of the Tour.


25% Non-refundable deposit.

Within 7 Days, 25% cost of the Tour.

Within 5 Days, 75% cost of the Tour .

Less than 3 Days, 100% cost of the Tour.

Cancellation of a Transfer (excluding tour transfer)

Within 24 hours: (25% charge)

Within 12 hours: (100% charge)

Tour cancellation policy when other ground services are included is on application.

Should visitor attraction/activities be included as a supplement, 100% non-refundable from time of booking.

There may be an administration charge for amendments to confirmed services.


Chauffeur-drive Services

If a vehicle requested is not available, a replacement vehicle of the same quality or a complimentary upgrade will be provided. Subject to availability.

Airport Transfers allow for Airport Parking with Meet and Greet on arrival and allow waiting time of up to 60 minutes. Additional waiting time costs may apply.

Rates are inclusive of chauffeur/driver guide, mileage and fuel, tolls.

If a breakdown occurs during the period of hire, full recovery will be provided and a replacement vehicle will be supplied as soon as possible.

The minimum hire period (excluding transfer) is three hours.

Surcharges applicable on 1st and 2nd January and 25th and 26th December

Unsocial hours supplement applicable for pick-ups between the hours of 23.00 and 06.00 hrs.

The company reserves the right to sub-contract vehicles should the need arise.

Missed Flights & Delays

It is the client’s responsibility to inform Edinburgh Executive Travel of any change in arrival plans or flights.

If there is a  “No Show”, the cost of the service is fully chargeable.

If the company has been informed of a flight delay we will endeavour to rearrange the service where possible but additional charges may apply.

The company is not responsible for any delays due to circumstances beyond the company’s control (Road accidents, all transport delays, severe weather conditions, police requests, terrorism etc).

Hire Charges

There is a minimum hire charge of 3 hours (see above).

Transfers are based on point to point by the quickest route.

Client Property

The client acknowledges that property placed within an Edinburgh Executive Travel vehicle is at their own risk and that Edinburgh Executive Travel or the individual chauffeur has no responsibility for such property.


If a client is booking our services for a third party, it is their responsibility to make sure that the third party has read and understood these terms and conditions.


UK Government tax (VAT) of 20% is applicable to our services and is included in all prices quoted.  Our VAT number is 367577740.


We hold public liability, motor and business insurance and are responsible for all our own vehicles and drivers.

We do not accept responsibility for any theft or damage to goods except where such theft was a direct action by an Edinburgh Executive Travel employee.

Edinburgh Executive Travel reserves the right not to carry passengers who are abusive or under the influence of drink or drugs or are considered a risk to our drivers.

The fitting of child seats supplied by the company or otherwise is the responsibility of the guardian.

Edinburgh Executive Travel respects your privacy - we will never email you unless it is regarding a transaction or enquiry or you have specifically requested details of our services. We will never give away or sell any personal details to any third party regarding our customers.

The consumption of alcohol and food is forbidden in our vehicles.
